User Roles and Permissions
Subscribr's Channel Access Permissions system gives team admins powerful control over who can access what content. This guide walks you through everything you need to know about managing your team's channel access.
How Channel Access Works
By default, we keep things simple - all team members can access all channels within their team. But sometimes you need more control, which is where our permission system comes in:
- Default access: Team members see all channels unless you set restrictions
- Restricted access: You can limit which specific channels certain team members can view
- Role-based permissions: Different roles (admins, editors, viewers) have different capabilities
Understanding User Roles
Subscribr has a clear role hierarchy that determines what users can do:
Team Admins
- Access to all channels (can't be restricted)
- Can manage other team members' channel access
- Full control over all channels and content
- Full access to all chat threads
Team Editors
- Can view and modify content in channels they have access to
- Can modify channel settings including the channel voice
- Can create new scripts for accessible channels
- Cannot delete channels
- Can create chat threads but cannot see the chat threads of other team members
Team Viewers
- Read-only access to channels they can see
- Cannot create or edit content
- Cannot view private chats (only those shared publicly using the Share feature)
- Perfect for team members who just need to reference content
Managing Channel Access
Controlling who sees what is straightforward:
- Go to Team Settings → Team Members
- Find the team member you want to manage
- Click the "Manage Channels" button
- Select which channels this person should have access to
- If you don't select any channels, they'll have access to all of them
Best Practices for Channel Permissions
Based on what we've seen work well for other teams:
- Start open: Give everyone full access initially, then restrict only when needed
- Organize by function: Group channel access by departments or content types
- Use viewers wisely: The viewer role is perfect for people who need to reference but not edit content
- Review regularly: As your team grows, periodically check that permissions still make sense
Common Questions
What happens when I create a new channel? Users with unrestricted access will automatically see it. Users with restricted access will only see it if you specifically grant them permission.
If I change someone's role, does it affect their channel access? No - changing roles (e.g., from Editor to Viewer) doesn't change which channels they can access, only what they can do within those channels.
